Privacy Policy

This Privacy Policy explains how personal information is collected, used, stored and disclosed when you use the Best Local Cleaners customer portal, related mobile/PWA features, website links, booking communications and support systems.

Last updated: 29 May 2026. This portal policy supplements the published privacy policies of Best Local Cleaners and Canvas ICT Pty Ltd. If there is any inconsistency, the policy that applies to the specific service or website you are using will apply to that part of the service.

1. Who this policy covers

For cleaning bookings, customer communication and service records, the relevant business is Best Local Cleaners, operated by FIND BEST SOLUTION PTY LTD (ACN 651 263 679), trading as Best Local Cleaners.

For website, CRM, portal, hosting, authentication, development, security, support and related technology services, Canvas ICT Pty Ltd may provide technology and operational support. Canvas ICT Pty Ltd may process information on behalf of Best Local Cleaners for the purpose of operating and supporting the systems.

This policy applies to customers, prospective customers, authorised account users, staff, contractors and other people who access or interact with the customer portal or related systems.

2. Information we collect

Depending on how you use the portal or related services, we may collect and hold:

  • identity and contact information, including name, email address, phone number, service address and customer or booking identifiers;
  • account and authentication information, including Firebase user ID, login provider, activation status, invite token status and access history;
  • booking and service information, including service type, booking date/time, address, quote details, notes, booking status, cleaner assignment status, invoices and payment status;
  • portal activity logs, including pages or records viewed, invite sent/accepted events, account resets, review submissions, feedback, support requests, IP address, browser type, device information and timestamps;
  • communications you send us, including emails, SMS replies, reviews, complaints, photographs or attachments you choose to provide;
  • payment administration information. We do not intentionally store full card numbers in this portal; payment processors and banks may handle payment data under their own security and privacy rules;
  • where staff or contractor functions are used, work attendance/check-in information such as booking ID, time, event type and location permission status. Precise location should only be collected when the user deliberately performs a check-in or check-out action.
You do not have to provide all information requested, but if required information is not provided we may be unable to verify your identity, provide portal access, manage a booking, investigate an issue or supply support.

3. How we use information

We use personal information for legitimate business purposes connected with providing cleaning services, operating the customer portal and maintaining system security, including to:

  • verify identity and control invite-only portal access;
  • display your own bookings, invoices, service records, check-in/check-out summaries and reviews where available;
  • send service, booking, invoice, payment, review, access and support communications;
  • record audit logs so we can investigate access issues, customer complaints, service disputes, misuse, security incidents and system faults;
  • maintain and improve the portal, CRM, API, mobile/PWA features, reporting and customer service workflows;
  • comply with legal, taxation, accounting, insurance, workplace, dispute-resolution and regulatory requirements;
  • protect the rights, safety, property and security of Best Local Cleaners, Canvas ICT Pty Ltd, customers, cleaners, contractors, staff and the public.

We may use de-identified or aggregated information for reporting, service improvement and business analysis where it does not reasonably identify an individual.

4. Sharing and third-party processors

We do not sell personal information. We may disclose personal information where reasonably necessary to operate the business or systems, including to:

  • Best Local Cleaners staff, contractors, cleaners and authorised representatives who need the information to perform or support a booking;
  • Canvas ICT Pty Ltd and technical support providers who host, maintain, secure or troubleshoot the portal, CRM, API and related systems;
  • service providers such as hosting, database, authentication, email, SMS, payment, analytics, accounting, backup, monitoring and security providers;
  • professional advisers, insurers, debt recovery providers, dispute-resolution bodies, regulators, courts, tribunals, law enforcement or government agencies where permitted or required by law;
  • another party involved in a business sale, merger, restructure or transfer, subject to confidentiality and lawful handling requirements.

Some technology providers may store or process information outside Australia. Where this occurs, we take reasonable steps to use reputable providers and apply appropriate security, access control and contractual safeguards.

5. Security, retention and data breaches

We use reasonable administrative, technical and organisational safeguards to protect personal information, including access controls, authenticated portal access, server-side audit logging, backups, monitoring and security review practices. No website, mobile app, email, SMS, internet connection or database can be guaranteed to be completely secure.

We keep personal information for as long as reasonably necessary for the purposes described above, including to provide services, maintain business records, resolve disputes, comply with legal obligations, support accounting/tax requirements and protect against misuse or claims. Records may be retained after portal access is suspended or deactivated where required for legitimate business, legal, security, audit or dispute-resolution purposes.

If we become aware of a data breach that is likely to result in serious harm and the Privacy Act requires notification, we will take reasonable steps to assess, contain and notify affected individuals and/or the Office of the Australian Information Commissioner as required.

6. Access, correction, complaints and contact

You may request access to or correction of personal information we hold about you. We may need to verify your identity before responding. We may refuse or limit a request where allowed by law, including where disclosure would affect another person’s privacy, reveal confidential business information, compromise security or interfere with a legal claim or investigation.
