Privacy Policy

This Privacy Policy explains how personal information is collected, used, stored and disclosed when you use the Best Local Cleaners customer portal, related mobile/PWA features, website links, booking communications and support systems.

Last updated: 29 May 2026. This portal policy supplements the published privacy policies of Best Local Cleaners and Canvas ICT Pty Ltd. If there is any inconsistency, the policy that applies to the specific service or website you are using will apply to that part of the service.

1. Who this policy covers

For cleaning bookings, customer communication and service records, the relevant business is Best Local Cleaners, operated by FIND BEST SOLUTION PTY LTD (ACN 651 263 679), trading as Best Local Cleaners.

For website, CRM, portal, hosting, authentication, development, security, support and related technology services, Canvas ICT Pty Ltd may provide technology and operational support. Canvas ICT Pty Ltd may process information on behalf of Best Local Cleaners for the purpose of operating and supporting the systems.

This policy applies to customers, prospective customers, authorised account users, staff, contractors and other people who access or interact with the customer portal or related systems.

2. Information we collect

Depending on how you use the portal or related services, we may collect and hold:

  • identity and contact information, including name, email address, phone number, service address and customer or booking identifiers;
  • account and authentication information, including Firebase user ID, login provider, activation status, invite token status and access history;
  • booking and service information, including service type, booking date/time, address, quote details, notes, booking status, cleaner assignment status, invoices and payment status;
  • portal activity logs, including pages or records viewed, invite sent/accepted events, account resets, review submissions, feedback, support requests, IP address, browser type, device information and timestamps;
  • communications you send us, including emails, SMS replies, reviews, complaints, photographs or attachments you choose to provide;
  • payment administration information. We do not intentionally store full card numbers in this portal; payment processors and banks may handle payment data under their own security and privacy rules;
  • where staff or contractor functions are used, work attendance/check-in information such as booking ID, time, event type and location permission status. Precise location should only be collected when the user deliberately performs a check-in or check-out action.
You do not have to provide all information requested, but if required information is not provided we may be unable to verify your identity, provide portal access, manage a booking, investigate an issue or supply support.

3. How we use information

We use personal information for legitimate business purposes connected with providing cleaning services, operating the customer portal and maintaining system security, including to:

  • verify identity and control invite-only portal access;
  • display your own bookings, invoices, service records, check-in/check-out summaries and reviews where available;
  • send service, booking, invoice, payment, review, access and support communications;
  • record audit logs so we can investigate access issues, customer complaints, service disputes, misuse, security incidents and system faults;
  • maintain and improve the portal, CRM, API, mobile/PWA features, reporting and customer service workflows;
  • comply with legal, taxation, accounting, insurance, workplace, dispute-resolution and regulatory requirements;
  • protect the rights, safety, property and security of Best Local Cleaners, Canvas ICT Pty Ltd, customers, cleaners, contractors, staff and the public.

We may use de-identified or aggregated information for reporting, service improvement and business analysis where it does not reasonably identify an individual.

4. Sharing and third-party processors

We do not sell personal information. We may disclose personal information where reasonably necessary to operate the business or systems, including to:

  • Best Local Cleaners staff, contractors, cleaners and authorised representatives who need the information to perform or support a booking;
  • Canvas ICT Pty Ltd and technical support providers who host, maintain, secure or troubleshoot the portal, CRM, API and related systems;
  • service providers such as hosting, database, authentication, email, SMS, payment, analytics, accounting, backup, monitoring and security providers;
  • professional advisers, insurers, debt recovery providers, dispute-resolution bodies, regulators, courts, tribunals, law enforcement or government agencies where permitted or required by law;
  • another party involved in a business sale, merger, restructure or transfer, subject to confidentiality and lawful handling requirements.

Some technology providers may store or process information outside Australia. Where this occurs, we take reasonable steps to use reputable providers and apply appropriate security, access control and contractual safeguards.

5. Security, retention and data breaches

We use reasonable administrative, technical and organisational safeguards to protect personal information, including access controls, authenticated portal access, server-side audit logging, backups, monitoring and security review practices. No website, mobile app, email, SMS, internet connection or database can be guaranteed to be completely secure.

We keep personal information for as long as reasonably necessary for the purposes described above, including to provide services, maintain business records, resolve disputes, comply with legal obligations, support accounting/tax requirements and protect against misuse or claims. Records may be retained after portal access is suspended or deactivated where required for legitimate business, legal, security, audit or dispute-resolution purposes.

If we become aware of a data breach that is likely to result in serious harm and the Privacy Act requires notification, we will take reasonable steps to assess, contain and notify affected individuals and/or the Office of the Australian Information Commissioner as required.

6. Access, correction, complaints and contact

You may request access to or correction of personal information we hold about you. We may need to verify your identity before responding. We may refuse or limit a request where allowed by law, including where disclosure would affect another person’s privacy, reveal confidential business information, compromise security or interfere with a legal claim or investigation.

Portal access terms

Terms & Conditions

These terms govern access to and use of the Best Local Cleaners customer portal, related mobile/PWA functions, account links, booking views, review tools, support tools and any connected online system made available to you.

Last updated: 29 May 2026. These portal terms supplement the published Best Local Cleaners service terms and Canvas ICT Pty Ltd website/platform terms. They do not replace any written quote, booking confirmation, cleaning service terms, invoice terms or mandatory rights under Australian law.

1. Parties and roles

Best Local Cleaners, operated by FIND BEST SOLUTION PTY LTD (ACN 651 263 679), is the cleaning-service business responsible for customer bookings, quotes, cleaning service communications and service outcomes to the extent stated in its published service terms and applicable law.

Canvas ICT Pty Ltd provides or supports technology used to operate the portal, CRM, authentication, hosting, integrations, mobile/PWA functionality, security monitoring and related support. Canvas ICT Pty Ltd is not the cleaning-service provider and is not responsible for the performance of cleaning services, cleaner availability, property condition, bond decisions, real estate agent decisions or third-party conduct.

By accessing the portal, activating an account, using an invite link, viewing portal data or continuing to use the system, you agree to these terms. If you do not agree, do not use the portal and contact Best Local Cleaners through its normal business channels.

2. Access and account security

  • Portal access is invitation-only and may require verification of your mobile number, email address or another identifier held in the CRM.
  • You must only access bookings, records and information that relate to you or that you are authorised to access.
  • You are responsible for keeping your login, email account, phone, browser session and device secure.
  • You must notify Best Local Cleaners promptly if you suspect unauthorised access, incorrect records, misuse of your account or a security issue.
  • Access may be refused, limited, suspended, reset or revoked at any time where we reasonably consider it necessary for security, privacy, account integrity, operational reasons, non-payment, suspected misuse, dispute management or legal/compliance reasons.
The portal is an operational convenience. It is not guaranteed to be available at all times and it is not the only way to contact Best Local Cleaners.

3. Acceptable use

You must not:

  • share, sell, transfer or misuse your portal account or invite link;
  • attempt to access another customer’s, cleaner’s, contractor’s or staff member’s information;
  • copy, scrape, harvest, bulk download, reverse engineer, test, attack or interfere with the portal, CRM, API, authentication, security or hosting systems;
  • upload or send unlawful, defamatory, threatening, abusive, misleading, confidential, privacy-invasive, malicious or infringing content;
  • use portal information to bypass Best Local Cleaners, directly hire or solicit cleaners, avoid agreed booking/payment processes, or cause loss to Best Local Cleaners or Canvas ICT Pty Ltd;
  • use the portal for spam, fraud, harassment, unlawful surveillance, unauthorised marketing or any unlawful purpose.

You are responsible for information, reviews, comments, images, requests or other content you submit. You grant Best Local Cleaners and Canvas ICT Pty Ltd a non-exclusive licence to store, reproduce, display, process and use that content as reasonably necessary to operate the portal, provide services, investigate issues, defend claims and comply with legal obligations.

4. Portal information, bookings and communications

The portal may show booking records, service status, invite status, invoices, payment status, reviews, activity logs, check-in/check-out summaries, cleaner first names, support notes or other CRM information. This information is provided for customer convenience and operational transparency only.

  • Portal information may be delayed, incomplete, unavailable, affected by third-party systems or corrected after review.
  • A portal status, timestamp, reminder, cleaner name, check-in record or booking display does not by itself vary a quote, create a new booking, guarantee cleaner arrival, guarantee service completion, guarantee bond return, waive payment obligations or create compensation rights.
  • Any booking change, cancellation, complaint, warranty/bond-back claim, variation, refund request or urgent issue must be submitted through official Best Local Cleaners contact channels and is subject to the published Best Local Cleaners service terms and the specific booking/quote conditions.
  • Where the portal conflicts with a written quote, tax invoice, booking confirmation or direct written instruction from Best Local Cleaners, the specific written booking/service document will normally prevail for that service issue.

5. Liability, warranties and service limits

Important: Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law or another applicable law.

To the maximum extent permitted by law:

  • the portal and related online systems are provided on an “as is” and “as available” basis;
  • Best Local Cleaners and Canvas ICT Pty Ltd do not guarantee that the portal will be uninterrupted, error-free, free from cyber incidents, compatible with every device, or that all information will be current at every moment;
  • Canvas ICT Pty Ltd is not liable for cleaning-service outcomes, property access issues, property condition, rent, bond deductions, real estate agent decisions, third-party contractor conduct, payment disputes or any loss arising from cleaning services;
  • Best Local Cleaners and Canvas ICT Pty Ltd are not liable for indirect, consequential, special, punitive or economic loss, including lost profit, lost opportunity, lost rent, loss of bond, loss of data, reputational harm, business interruption or third-party claims arising from portal use or reliance on portal information;
  • where liability cannot be excluded but can be limited, liability is limited, at our option where permitted by law, to re-supplying the relevant service, correcting the affected portal record, restoring access, or paying the reasonable cost of re-supplying the relevant service;
  • you indemnify Best Local Cleaners, Canvas ICT Pty Ltd and their officers, employees, contractors and service providers against loss, cost, claim, damage or expense arising from your breach of these terms, unlawful conduct, misuse of the portal, unauthorised access, content you submit, or direct dealings you arrange outside the authorised Best Local Cleaners booking process.

Any liability cap or exclusion applies separately to portal/system use and does not expand any rights or obligations under cleaning-service terms. The cleaning-service terms continue to govern cleaning scope, payments, cancellations, variations, complaints, bond-back/rectification rules and direct-hire restrictions.

6. Privacy, changes, disputes and contact

Personal information is handled in accordance with the Customer Portal Privacy Policy and the relevant published privacy policies of Best Local Cleaners and Canvas ICT Pty Ltd. System logs may be used to verify access, audit changes, investigate complaints, diagnose faults and manage security incidents.

We may update these terms by publishing a revised version on this page. Continued use of the portal after publication means you accept the revised terms. If a change materially affects how a current booking is managed, Best Local Cleaners may provide additional notice where practical.

These terms are governed by the laws of the Australian Capital Territory, Australia, except where the law of another Australian state or territory must apply to a particular consumer service, property, tribunal matter or statutory right. Disputes should first be raised with Best Local Cleaners using official contact channels so the issue can be assessed and, where appropriate, corrected or escalated.
